Mandate

The Space Management and Infrastructure Section (EP-AGS-SI) provides various services to members of the EP department in terms of administrative authorisations, storage space, coordination work, space management, key and lock coordination and inventory management.


SPACE MANAGEMENT

Should you need space, please send your request to ep.space-management@cern.ch.

The EP Space Management service is in charge of the monitoring and attribution of space in the EP department. It deals with the needs of the full population of MPE and MPA. The activities concern offices, workshops, labs, storage, meeting rooms, etc.

The internal organization of space used by the large experiments and groups is delegated to the secretariats.

BUROTEL

The Department offers a range of open spaces with desks that can be booked via the Burotel application. For Experiment-specific spaces, you can pre-book via the Burotel app or contact your Experiment Secretariat .

LABOTEL

The Department also offers technical spaces, such as a laser room, clean room, technical areas for short- to medium-term bookings. It also provides access to specific tools managed by technical groups.

The spaces are visible in the Labotel application. All reservation requests must be submitted in pre-booking mode. You will then be contacted by the person responsible for the space and/or tools.

STORAGE AREAS

EP-AGS-SI is responsible for managing some EP central storage areas and proposes a secure warehousing in Building 610Building 190Building 940 , Building 698 and a dedicated space for archiving documents in Building 26 and Building 4.

REQUEST AND COORDINATION WORKS

EP-AGS-SI is at your disposal to prepare, plan and coordinate works, liaising with other departments, specifically SCE for tertiary buildings, EN for machine buildings and IT for network and videoconference rooms. We can assist with all your group and experimental needs, from refreshing office spaces, to creating labs, clean rooms, etc.

LOCKS AND KEYS

To request a key, please complete the EDH Keys Request form.

The Locks and Keys Service will notify you when your key is ready to be collected.

NB: when your contract with CERN ends, or when you move office, you must return your key to the Locks and Keys Service.

To request the installation or replacement of door cylinders (mechanical or electronic), please complete the Cylinder Request form. ep.infrastructure-services@cern.ch will inform you when the work is planned.

OFFICE FURNITURE

We have a small stock of furniture (chairs and tables). Due to budgetary constraints, we do not buy and stock furniture anymore. Please contact us at ep.infrastructure-services@cern.ch.

If you want free furniture, please visit the Sales and Recuperation Service.

If you need to buy new furniture, order via the EDH CERN Catalogue.

If you need to assemble or dissemble furnituremake a request via ServiceNow.

If you need to transport furniture from one office to another, make one EDH request and select as nature of transport: Removal.


VEHICLES, LICENCES AND ID’S FOR DRIVERS

To use the CERN MobilityService for CERN vehicles you must have completed the Level 1 Safety Course, apply for a CERN Driving Llicense, and be in possession of a driver ID.

The delivery of driver ID tokens for CERN cars is done via your Experiment/Group Secretariat, but if not possible, you can also collect them from building 124. If you no longer need your identifier, or if your CERN contract has been terminated, please return it to the place of issue.

The authorization to drive an official vehicle is valid for five years.

MISSION ORDER

Mission orders are requested for two types of authorisation via EDH.

  1. Authorisation to travel by official vehicle outside the perimeter of the various CERN facilities (see authorised driving zone in Operational Circular No. 4).
  2. Authorisation for travel by official vehicle between residence and place of work in the framework of on call duty.

NB: This authorisation is sufficient even if the place of residence is outside the authorised driving zone (the mission order described above is not required in this case).

TUNNEL TRANSIT

Tunnel Transit Authorization is requested via ADaMS.

The tunnel, linking the Meyrin, Prévessin and LHC sites of CERN, allows the transit of goods needed for CERN’s operations and the movement of duly authorized persons in direct transit between the various CERN sites, solely for work purposes.

A Tunnel Authorisation is necessary only:

  • for a Member of CERN Personnel crossing the tunnel inside a private car or an institute car,
  • for Contractor’s personnel inside a CERN car.

NO NEED OF A TUNNEL ACCESS FOR A MEMBER OF CERN PERSONNEL (MPE & MPA) INSIDE A CERN CAR.

The tunnel is open from 07:30 a.m. to 6:00 p.m. from Monday to Friday, public holidays excepted.

Reminder: when going through the tunnel, you must carry your CERN access card, your national identity card or passport, and your Tunnel Transit Authorisation.

There are three different types of shipping request.

Transport insurance (in & outbound) is centrally covered and free of charge (no longer required in EDH).

INVENTORY

Each department must maintain an inventory of mobile assets such as computers, laptops, printers, copiers, tablets, smartphones, oscilloscopes and photographic instruments. The Inventory database (Foundation) is regularly updated by sending users summaries of the assets registered in their name, verifying the location of items, etc.
